What is Zapier?

The Zapier Automation Platform is a platform designed to integrate data between web applications. Zapier automates the communication between apps by relying on “Triggers” within apps to catalyze pre-arranged actions, such as data formatting, and transfers of data between apps. The program featured pre-designed connections for more than 1,500 apps. It is scaled for small to mid-sized businesses and features a free version with limited connector complexity and quantities.

Zapier's goal is to enable automation for any process, allowing users to visualize and build advanced workflows with custom logic, conditions, and filters, with no code needed. Some features include:

Couldn't even use it. It's a trash company. They mislead you into paging for services. Then when I purchased a plugin for their "free" service. It didn't even work and they said they can't even help with a refund cause it's a third party. Theyre completely trash.

Zapier helps in updating the leads on Google Sheets in real-time which makes it super easy to reach out to the customers and the total number of leads received on a particular day without updating them manually.

We use Zapier across our entire company to automate our recurring tasks as well as any manual task that Zapier supports. The problem that it solved is time lost in entering data into different systems and also time lost due to copying information from one system to another system. This allowed us to keep using our existing systems and connect them which saved us money as compared to moving to an entirely new system that requires deployment and configuration and customization as well as save us time in data entry.

Zapier is the Swiss Knife every tech company should have. We use it particularly in the marketing department where we implement a lot of growth experiments and marketing automations. Before using Zapier we needed to wait until the developers team had time to implement our proposals, but nowadays we just run MVPs with Zapier for basic backend functions. If the growth or automation MVP is successful we can do 2 things: 1st it can keep running with Zapier, 2nd we ask the developers team to implement the feature that we already know is a successful feature. We use it from simple tasks like activating welcome emails, to almost building a mini CRM for certain apartments just with Zapier.
  • Zapier can integrate perfectly with almost every single app or service out there
  • Even if an integration is not developed you can always use the global integrations to connect with webhooks, emails, parsing, and build from zero your own custom integrations (you need more tech knowledge)
  • Zapier can run as fast as real-time, and with one of the paid options it gives you more than 75,000 tasks which is really good. They also have the free version which runs I think every 15 minutes and it has 100 tasks which is not bad for testing purposes. Actually, a few companies nowadays offer this kind of free tier.
  • The builder nowadays is really easy and friendly to use, they have implemented advanced features as paths and decision points and they continuously improve the platform.
  • Sometimes 75,000 tasks are not enough (believe it or not), and after that point, you start to pay per task it would be nice if they would offer more tasks under the same plan price.
  • It's supposed to work in collaboration with your team, but I feel there is plenty of opportunities here.
  • They have user communities for advanced and new users, but I think it could be done better
We did a retention/engagement strategy for users, so a user signs up and does a Trip. We automatically send an email saying if he did a 2nd trip, and he will obtain a discount for the 3rd trip. Once he gets the coupon we encourage him to complete a 5th trip with a minor discount. For every 5, 10, 15, 20, 30, and 40 trips, we offer a coupon or reward. We look to at least take our users up to 20 trips, and after that, it has become a habit for the users to use our platform. If we go to trip number 40, then they are an ambassador. All the automation was done with Zapier as backend plus webhooks, google sheets, mailjet, and other tools.

I love using Zapier to minimize customer service tasks that I have to do on a daily/weekly basis. It helps save time and money, allowing me to save investments on additional employees. This also gives me more time to accomplish other business tasks and get more work done in the same period of time.

We use Zapier to connect Google Forms to our calendar, create email confirmations and add people to our contact list.
When we take orders, we need to print a form out for our production team, make sure it's in the calendar, and send a confirmation to the customer. Zapier makes this easy and is a great tool to supplement Google Forms.

It's a great supplement to Google form. If you need to add calendar appointments and don't want to do it manually, Google Forms works great. If you have a form that multiple people in your organization need to fill out and you need the information to be emailed and posted somewhere, this makes it easy.

Zapier connects the many tools we use in our business quickly and easily ensuring that our data is easily accessible. Many tools offer native integrations with each other, but there are so many pieces of software that when there isn't a native integration, Zapier comes to the rescue to ensure we can share data back and forth.

  • Easy for non-developer team mates to setup integrations with on their own
  • Pricing is high depending on use case
  • Related to the above, if an app does not have the best trigger or action setup, it might take 2-3 zaps to accomplish what should really be a single zap, and this would could be prohibitively expensive, costing even more per month than the software tools themselves you are connecting
Zapier is great at what it does. Competitors have cropped up over the years, but Zapier's integrations are generally the most well done since they are done by each app's development team directly, rather than a third-party that might not keep up with the app platform's latest features.

If a service already offers a native integration with the other service you need to connect, there is no point in using Zapier, but with tens of thousands of popular software tools out there, it isn't possible for every SaaS to integrate with every other, thus the need for Zapier.

Zapier was the organization's first experience with marketing automation processes. It was relatively easy to implement and overall has made a tremendous impact on our organization.

Zapier within the organization is used by different departments for the necessary use by each one.
Sales uses it to manage leads from different landing page platforms or social networks and to send the information to sales CRM.

Development and Systems use it to communicate platforms with each other and send calls via API.

Customer Service uses it for communication with customers when executing some scheduled tasks within the CRM.

  • They need to have a mobile app to monitor activities or turn automations on and off.
It is highly recommended if you have a small business that needs to make a connection between several platforms.

If you are prospecting for clients and need to manipulate information quickly, you can get a CRM and connect your landing page and CRM with each other.

We use Zapier to connect separate services and databases used for marketing, sales, and CRM.

For example, when running a webinar as a marketing funnel, our funnel software doesn’t integrate directly with our webinar software or our CRM. Luckily Zapie reintegrated with all 3 platforms so it allows us to functionally sign up registrants to our webinars using our designed funnel pages and store their details in our CRM.

We also use Zapier across 20 or more similar scenarios for other marketing funnels where pieces do not connect natively, Eg our WordPress website, WooCommerce purchases, Typeform quizzes, ClickFunnels opt-ins, Asana project tasks, and ActiveCampaign email subscribers. It’s very versatile in how many different services it can connect with that otherwise would not be able to work together easily.

  • Using simple logic to trigger automations in specific situations.
  • You can only access logic pathways (ie perform different actions based on data received) on higher plans.
  • Sometimes when a zap fails it notifies me by email but they get lost in my inbox and I don’t notice.
Zapier is perfect when you have chosen other software for various different purposes, or are already using various different software packages, and you want to be able to connect data or statuses from one area to another. Zapier is not something you should use or rely on if you don’t need it! It doesn’t always have the level of integration or sophistication that a direct, native integration would have.

I'm a freelancer working by myself running Facebook ads for lead generation. I have SMB clients that receive the leads I collect. Zapier is being used by myself and I run it by myself, and it's super simple to do so. It automates the process of getting the leads from Facebook to my clients' CRM, streamlining the sales pipeline and creating automation to help them close deals, increase CRs and stay in touch automatically with their clients or unconverted leads.
  • Automatically collect leads from Facebook's API and put it in any CRM of your choosing.
  • Automatically send emails based on the CRM status of your lead/client (meaning you can plug in your Mailchimp or whatever you're using and integrate it into your sales pipeline).
  • Use webhooks to start automation sequences from your LP lead generation (for example if someone left their details on your LP, send their data to Mailchimp and start an emailing sequence).
  • Sometimes specific CRMs aren't configured to the max in Zapier's interface, but their customer support always listens to your problems, opens a ticket and lets you know once your feature is done.
It's awesome for solopreneurs and SMBs wanting to automate their own business or automate their clients' sales pipeline - meaning you can implement it into your SMB's business as well (not only for lead generation).

Due to lack of experience with using Zapier in large corporates, I'm not sure if it's well suited for it, but I doubt the right person can't find the right functionality to make it work. It's very easy to use and offers tons of APIs.

We use Zapier to connect our cloud software and automate repetitive tasks. Our whole team uses it, and it makes it possible for our small team to handle a lot of different types of work.
Some of the most common things we do with Zapier include automated notifications to our company Slack for important notifications and new sales leads. We use it a lot to create tasks in Asana for reviewing new leads, partner applications, etc.
  • Quick to get started, and there are plenty of examples to follow.
  • Works with almost any program you use, either out of the box or via API.
  • Filters and branching help build logic into automations.
  • Finding and saving your Zaps can take some getting used to.
I would recommend Zapier for small teams where everyone is very hands-on and would be able to elevate an issue if something breaks. It's a great tool, but it's a little risky to rely on it for a lot of your internal processes, simply because you may not know if something has stopped working because of a software update or change in the integrations.
For small little fixes, personal productivity, and notifications/tasks it's a home run.

We first started using Zapier when we adopted a new internal ticketing system from FreshService. At the time, the FreshService product was in its infancy but offered a good cost/feature value. It did not, however feature a native iOS app and/or push notifications. We started using Zapier as an intermediary between FreshService and our separate 3rd party SMS platform to deliver service request notifications to agents based on pre-defined rules. Eventually FreshService deployed a native iOS app which obviated this need. However, we had since learned how easy it was to define Zaps to plug feature holes in various platforms or make disparate services talk to one another. Eventually we gave access to it to those outside of IT so that they could experiment on their own. Now the majority of our departments have at least some type of Zapier usage even if it's as basic as pushing timesheet status reminders.
  • Comprehensive list of modern available apps.
  • No knowledge of coding is required unless you are automating dev scripting.
  • Cheap and scalable. Pay for the number of Zaps you use and adjust pricing if usage changes.
  • There is always one obscure app that isn't in their native support list.
  • No two way workflows/active synchronization. Some rule based automations require external services like IFTTT.
  • No native iOS app.
For various systems, Zapier is excellent at delivering notifications or triggering reports based on scenarios (uptime notifications from Pingdom, PagerDuty notifications for unsupported systems). It is also excellent for creating tickets based on events (bug reports create and assign helpdesk tickets based on rules). Essentially when events occur Zapier is a quick way to create a workflow that automatically subtracts a few manual steps from normal behavior. That being said, since there is no two way sync or complex modifiers, it is not useful as a reporting or analytics replacement.

We use Zapier across the whole organization from finance, sales, marketing, development and support. We use Zapier to post messages or statuses to various applications such as Slack, email, CRM, internal apps and more. These integrations have helped us ensure people are notified about crucial events, can get the information they require and data is synced across multiple systems.
  • So many integrations! They integrate will all the systems we use.
  • Simple to use! The user interface is clear and guides you through what you need to do.
  • Many useful features such as webhooks, splits, formatters and more to ensure you send your data to the right place and in the right format.
  • Some integrations have limited 'triggers' or 'actions' although the app has many API endpoints available
  1. We use Zapier to automatically email relevant team members about events that are specific to their region. This data comes through our billing system and Zapier is able to decipher the region and based on conditions we have set up, forward emails to the relevant staff members.
  2. Zapier can capture webhooks and send these wherever you want. We have set up webhooks for errors in our application. These are immediately forwarded to message tools so our team know about the issue immediately, rather than having to log into our monitoring system.
  3. We have several apps that have similar information and we want to keep them in sync. However, they do not have native integrations with each other. Zapier can take events from one app and post these into the other app.

I use Zapier to automate integrations across the various apps I use. Mainly for marketing automation and purchasing automation of my online courses. Zapier makes it easy to connect these disparate cloud services that I use, since it requires no coding and is done through a rather simple interface that guides you nicely through the integration process.

  • Better support for lists and arrays inside zaps would be nice
[Zapier is well suited for] connecting online forms to spreadsheets or mailing list services. Practically anything where you need one service you use in your business to provide an input to another service you use, or to collect data from it so you can process it later.

I also use it heavily to connect automated processes like purchasing of online courses to manual processes in my business using services such as Manifestly.

I use Zapier to coordinate Asana and GSheets for arranging product priorities. , we put several competing priorities as cards into Asana, and then they auto-push into a specific Google Sheet, which is then sorted for priority. It's been a beneficial tool to see in one single pane of glass which competing priorities we have.
  • Asana -> GSheets.
  • Easy to understand and set up.
  • Though it's easy to use, you do need to have a knack for critical thinking.
  • As the product gets older, more and more apps have easier connectivity to it, but at the beginning, it didn't have a lot of apps to connect easily. A lot has changed in the last few years!
  • Some applications work well, but some not. I couldn't find many Slack integrations, but I did see useful GSheets integrations.
  • It's also good for creative solutions; you may not think two or more apps can connect, but they really can. It takes someone with creativity, critical thinking, and a bit of time to tinker to do well with this product.

Zapier is used within specific teams in our department to perform workflow automation. We wanted an easy way to perform automation without needing to code but also have a drag and drop interface to set-up easily. For example, we use it with Google Forms for our customers to fill and let Zapier perform the automated approval workflow, and integration to Jira to open a ticket for our team without manually performing it ourselves.

There are many uses for Zapier that could be used in your environment, as there are numerous connectors available. In our environment we are connecting Google Forms, Google Drive and Jira to perform our workflow for customers.

Zapier is an important tool to merge processes inside Kushki. We use different tools for different departments inside the organization and Zapier is the bridge to join and connect these tools. now Zapier is a decisive factor while we are choosing a tool if the tool does not have an integration with Zapier probably will not be selected. Zapier has been implemented in the operation team to automate a process like client affiliations catching the information throw forms, auto-filling documents and sending emails. Usually, automate this kind of task takes many hours of development but with Zapier just minutes. Probably if you have a process that involves some tools and areas could be automate using Zapier.

  • Support Customers - Send notification to other areas, integrate differents service desks
  • Operation Area - Pre-fill documents, send notifications, launch process in other tools

Zapier is suited when your process will be launched just few times, probably if you are a startup the cost to use Zapier in a high volume could be expensive. However, is cheaper than pay for development. The webhooks are very useful you can fire a workflow in Zapier from any system.

We use Zapier to connect our various tools and softwares. From our own proprietary CRM, to our B2C email database to our B2B marketing automation platform, to event marketing software, our tech stack is fairly fragmented. Zapier is an amazing tool that connects them all and shared information. Mainly our marketing team uses Zapier.

Zapier is a great product if you have a fragmented tech stack like ours. Most marketing teams have multiple software tools that get customer information. Zapier is a great tool for connecting those without using developer resources. But if you only have one central tool (like Hubspot) you probably won't need a tool like Zapier.

Zapier is used by multiple departments across the organization to automate tasks. Graphic Design and Art services teams use Zapier to create and track cards in Trello. It has been used by Customer success department to track NPS scores from type form. Pipedrive integrations have been used to import leads on a daily basis.
  • Excellent automation services between business, productivity, and CRM applications.
  • Zapier has a wide range of integrations available for every business need.
  • User-friendly: it's easy to create and administer zaps.
  • It has very dependable monitoring and notifications in case of failures.
  • Field mapping can get tricky in certain zaps.
  • It has limited triggers in some integrations.
Integrations with Slack and Trello are excellent case scenarios where Zapier really shines. It has seamless integration with recording Typeform responses in Google Sheets. Recording Zendesk tickets in Google Sheets also works great.
Integrations with SQL server can be tricky to set up.

In my department, we need to send information from our workflow to a Google Drive folder, and we do it through Zapier. It was easy to set up and solved a really complex problem if we were to use web services or other integration mechanisms.

The business case is that we have an approval workflow, including several attachments, and when it is approved, we want to store all of them in a shared folder. The same business case could apply to send information when the workflow goes to a spreadsheet in Google Drive (via Zapier).
  • Easy of use to set up the connection
  • Stability - it has been working for a while
  • Reports when anything unpredictable happens
  • 100% cloud, no hidden surprises
  • Language support. I find it difficult to manage both languages at the same time.
  • Not too simple to log errors for improvement.
  • good: interconnecting web applications
  • good: sharing files between web apps
  • good: chaining actions between web apps and passing data between them
  • room for improvement: performing calculations with the data of one app before send it to the next
  • room for improvement: implementing loops with the information received from one, for example to "simulate" a "do while"
Usage Examples:
  1. Set up a workflow to write/revise/approve Tweets in a cloud BPM tool (i.e I use Flokzu)
  2. Have all your revisions and approvals in the workflow tool
  3. At the end, connect your workflow with Tweeter via Zapier to automatically publish the approved tweet.
